How to Get Appointment at Polish Immigration Office?

Appointment at Polish Immigration

When you decide to apply for a residency permit in Poland, you cannot just go there and file your application. Maybe before it was like that, but now they have changed the process in Warsaw, meaning if you want to apply for a residence permit in Warsaw, you have to make an appointment online, and then you have to visit the immigration office.

How to apply for TRC

  1. You can apply through Inpol and MOSI
  2. You can apply through their customer service point.
  3. You can apply by post.

Author’s Note about the first option

Option 1 is not available now from 17 April 2026, so you can send it only by post, but only till 27 April 2026. After this, you will enter a new system and only apply through MOSII.

Which one to prefer?

Right now, when we update this blog post on 20 April 2026, you have only one option available that you can consider for file submission, which is via post, because the old INPOL and MOS systems will not be working from 17 April 2026, as the Warsaw immigration office is working on the new system called MOSII, where you have to submit applications online and all the communication will be held through your e-delivery system.

Author’s note about MOSII and e-delivery

MOSII will be launched on 27 April 2026, which allows you to apply for any kind of residency, e.g., TRC, PR, and EU long-term residency, through this system. All the processes are done through this system online, whether you are submitting your application and other relevant documents.

An e-delivery system is like your online email that works as your online delivery system, where you would receive your official letter from immigration, which is your top concern, but you would receive other important letters from other offices as well, which include your tax-related documents and much more.

So, if you are planning to apply before 27 April 2026, then you can send your application by post, which should reach before 27 and if you are planning later, after 27 then you have to apply through only MOSII, and all of the above options would not work for you from 27 April 2026.

Once the system is activated properly, we will guide you further in the future about the file submission process.

The author’s keynote for you

These options are only for those who live in Warsaw and the surrounding area. If you live in another city, then you don’t need to follow this process, but you can use option three anywhere, meaning you can send it by post to any office located in your area. The above process related to MOSII is only for residents of Mazowieckie. If you live in Krakow, for example, you have to follow another process, or you can directly visit the immigration office located in your city.

Important note regarding online appointment

The immigration office in Warsaw has stopped the online appointment system through Inpol due to bringing in a new system named MOSII, which is more upgraded and will make the application process more digitalized in the future. Until further update, you are no longer allowed to book an appointment for fingerprints through Inpol, but you can send your application via post at least.
